What is LumoFlow?

LumoFlow is a collaboration environment that helps your team in getting projects delivered on time. It centralizes documents, conversations and project activities under a single interface. Social networking features are provided to increase transparency of a team work and to build trust between team members. 

Who are your intended users?

LumoFlow is a simple, easy to use collaboration tool that is targeted to all kinds of teams despite the industry. Our tool is used by many kinds of teams ranging from IT and media companies to schools, restaurants and art collectives. If you need to share information with your team and manage projects, then this might be just the right tool for you. Even more so if your project communications currently relies heavily on email.

Does using LumoFlow require extra work from me?

No, the aim is to make you more efficient in your daily tasks. Having a centralized place for all the project communication will reduce the need for sending emails around and the time needed to locate specific information, which will save your precious time for more important tasks.

Can users outside of my organization participate in my workspace?

Yes. you can invite people from anywhere by using the call users functionality. You can set up multiple workspaces if you need to restrict the visibility of the communication.

Can I access my workspace with a mobile phone?

Want to access your workspace on-the-go? No problem, you can do it now with our mobile version, which is optimized for small screens. Point your mobile browser to http://www.lumoflow.com/mobile/ to see the recent changes in your workspace, to access your todo-lists and to participate in discussions. The mobile access is available in the premium version. 

Our company follows an agile process X, is Flow suitable tool for us?

LumoFlow can be used as a supporting tool for an agile process like XP/Scrum/Lean. You can set up projects with prioritized task lists and milestones. Document management and commenting are provided for easy sharing. There's a also meeting tool to for reminding participants and for sharing of the meeting notes. We do not want to tie the tool to any individual process but instead want it to be flexible enough to adjust to the various ways teams work in practice.

I already use Microsoft Project, why should I switch?

MS Project is targeted for project managers creating a project plan for their team. It doesn't support group collaboration. In Flow, everyone can participate in planning by entering tasks and by commenting them.

We already have a discussion Forum, how LumoFlow is different?

Forums are good for discussions but do not provide document sharing or project management capabilities. While discussions enable people to ask questions or share ideas, in an integrated collaboration environment, input from discussions can be turned into actionable task and recorded as documentation for easy reference. 

We already have a Wiki, how LumoFlow is different?

Wikis are good for recording and sharing static information like design guidelines and company best practices but doesn't support well real time collaboration due to its lack of messaging features.


Can I share my Google Docs document in Flow workspace?

Yes, you can either share your Google Docs with named users or you can publish you Google document to be viewable by anyone. To publish and share your Google Docs document, spreadsheet or a presentation in Flow workspace, follow the steps below:

  • Login to your Google Docs account
  • Select the document you want to share by opening it or selecting it from the list.
  • Select 'Share' -> 'Get the link to share'
  • Check either 'Allow anyone with the link to view (no sign-in required)' or 'Also allow them to edit'
  • Copy & paste the document URL into your Flow workspace

Note: the document will be viewable by anyone who has access to the link, not just users in your Flow workspace. However, it will not be indexed by search engines (as stated in Google Docs Help).

To share your Google Docs document with only named users, follow the steps below:

  • Login to your Google Docs account
  • Select the document you want to share by opening it or selecting it from the list.
  • Choose 'share' -> 'Invite people'
  • Select either 'To edit' or 'To view', depending on your preference.
  • Enter the email addresses of the individuals who you want to allow to view/edit this document.
  • Click 'Add without sending invitation'
  • Click 'Save & Close'
  • Copy & paste the document URL into your Flow workspace

When sharing a document with only named users, only those users can access the document using their Google Docs account.

Can I use Flow for VOIP or Video conferencing?

Not at the moment, it might be possible in future though. There are many providers in the market for VOIP and conferencing, which can be used together with LumoFlow as complementary tools.

Can Flow be used in different languages?

Flow stores all the content internally in the Unicode format so you can use Flow used in any the major languages written today including Western, Middle-Eastern and Asian languages.

Can I have my user interface in some other language than English?

Currently the UI is only provided in English. If you would like have it translated into another language, let us know by using the feedback form in the workspace or email us at support@lumoflow.com.

Font size is too small, can I increase the size of the text?

You can increase the font size by pressing "Ctrl" and "+" on your keyboard.

Which web browsers do you support? Are there any issues regarding the browser support I should be aware of?

You can access your workspace using any modern browser including Internet Explorer (versions 7 and 8), Firefox (versions 2 and 3) and Safari on Mac (versions 2, 3 and 4).

There are known issues with Google's Chrome (version 1 and 2) with file uploads and with the inline editor, and therefore we do not recommend using Chrome to access your workspace at the moment.

Are your workspaces secure?

We take the security of your data seriously. Workspaces are accessible only through encrypted SSL connection (certified by GeoTrust). Servers are hosted in a high security site with 24/7 surveillance and alarms. All data is stored on a redundand disk array and backed up daily.

Our data centers will run uninterrupted even in the case of extended power outage as every server is receiving conditioned UPS (Uninterruptible Power Supply) power. Our UPS power subsystem is redundant, with instantaneous failover if the primary UPS fails. You data will not only be safe but also always accessible.

How many users/projects are allowed in the free version?

The free plan allows unlimited number of users and projects. We believe that the value of the service increases as more people participates and therefore we do not want to restrict the number of users in the free plan.

Is there a limit to the number of discussions in the free version?

There is no limit for the number of discussions or tasks in the free version. The space for shared documents is limited to 100MB.

How long can I use the free version?

You can use the free account for as long as you wish, there is no requirement to upgrade to the premium version. However, by subscribing to the premium version you get additional features like resourcing, time tracking and integration to external media sources which can help your team to become even more productive.

What are the premium features?

The premium version contains the following features that are not available in the free version:

  • 20GB document storage
  • Mobile access (customized mobile version of the workspace)
  • Visibility settings for projects (control the visibility to only named participants)
  • Time tracking with Excel reports
  • Media tracking - follow topics of your choice from the web, and integrate RSS and Atom feeds to your workspace
  • PDF output of any content inputted in the workspace
  • Full customer support including support over phone
  • Guaranteed 99% uptime

What payment options do you offer?

We currently support payment through paypal, or alternatively, you can make a direct bank transfer if you are within European Union. Subscription can be made on monthly basis and it can be cancelled at any time.

What level of support do you provide?

For the users of the free version, currently the primary support channel is by emailing at support@lumoflow.com or by using the feedback form in the workspace. Based on the input we will update this FAQ and add more support material on the web site. The premium version comes with an SLA and direct support phone number.

How can I delete my workspace?

Users with administrator's privileges can remove the workspace using the Cancel this workspace link in the subscribtions page. The data will be permanently deleted after 30 days. See also Closing your workspace in the help topics
